Why Is My Google Business Profile Not Showing Up? A Clinic Fix List

When your clinic doesn't appear on Google, the cause is usually something you can check yourself. Here are six checks, a simple consistency sheet and a monthly routine.

THE SHORT VERSION
  • First, work out which problem you have
  • The six checks
  • Build a consistency sheet
  • Reviews: ask properly, reply carefully
  • A monthly ten-minute check
  • What a person must still decide

You search for your clinic and it isn't there. Or it shows up when you type the exact name, but not when someone nearby searches for the service you offer.

Most of the causes are things you can check yourself, in Google's own settings, in one sitting.

One honest note first. Nobody can promise you a place on the map, including anyone selling a fix. What you can do is remove the problems that keep a listing hidden, and make your details the same everywhere. After that, Google decides.

First, work out which problem you have

There are three different situations, and they need different fixes:

  • Hidden: the profile exists and is verified, but it doesn't appear for the searches you expect.
  • Unverified: the profile was created but never finished the verification step.
  • Suspended or restricted: Google has limited the profile, usually because something in it doesn't match its guidelines.

Sign in to your Business Profile and look at the status messages at the top. If something is wrong with verification or the profile has been limited, that's the place to see it. Start there before changing anything else.

The six checks

1. Is the profile verified?

If verification was never finished, the profile may not show publicly at all. Finish the verification steps Google offers you, and keep a note of the date and who did it.

2. Is there a suspension or restriction notice?

If there is, read the reason carefully before you edit anything. Changing lots of details at once can make the situation harder to untangle. Fix the specific issue, then follow Google's process for asking for a review.

3. Does your name match your real business name?

Adding services or suburbs to the business name ("Smith Physio Best Sports Injury Clinic Parramatta") is a common cause of trouble. Use the name on your signage and your paperwork, and nothing extra.

4. Does your address match everywhere?

"Suite 2, 10 Main St" on Google and "2/10 Main Street" on your website look like small differences. They can still create doubt about whether two listings are the same place. Pick one format and use it everywhere.

5. Is the primary category right?

Your main category tells Google what you are. If you're a physiotherapy clinic listed under a broad category, you may not appear when people search for physio. Choose the most specific category that fits, then add others only if they genuinely describe what you do.

6. Are your hours and services current?

Out-of-date hours, missing public holiday hours and empty service lists all make a profile less useful. Fill in your services in plain words, the same words your clients use.

A seventh thing to keep in mind: Google shows local results based partly on where the searcher is. If you search from home, across town, you may simply be too far away to appear. Ask someone near the clinic to search before you assume the profile is broken.

Build a consistency sheet

This is the part most clinics skip, and it's the easiest to keep up once it exists.

Make a spreadsheet with one row per place your clinic is listed, and these columns:

  • Where it's listed (Google, Apple Maps, Bing, HealthEngine or HotDoc if you use them, your website, any directories)
  • Business name, exactly as shown
  • Address, exactly as shown
  • Phone number
  • Hours
  • Services listed
  • Date checked, and who checked it

Fill it in by looking at each listing, not from memory. Highlight anything that doesn't match your master version in the top row, then fix those cells one listing at a time.

AI search tools also pull business facts from many places. When your details disagree, any tool reading them has to guess.

Reviews: ask properly, reply carefully

Reviews are part of a healthy profile, but healthcare brings extra care.

  • Ask everyone the same way. Don't only ask the clients you think are happy. Google's review policy doesn't allow businesses to selectively ask for positive reviews or to discourage negative ones.
  • Never pay or reward for reviews. Google's policy also rules out incentives such as payment, discounts or free services in exchange for a review.
  • Reply without confirming anyone is a client. A reply like "Thank you for seeing us last week about your knee" confirms a health relationship in public. Keep replies general: thank them, and invite them to contact the clinic directly.
  • Check the advertising rules before featuring reviews. If you provide a regulated health service, Ahpra's guidance says comments about clinical aspects of care (symptoms, diagnosis, treatment or outcomes) count as testimonials and can't be used in advertising. Read the current version at the source before you put any review on your website, in an ad or in a social post.

A monthly ten-minute check

Once the sheet exists, the routine is short:

  1. Search your clinic name and your main service plus suburb, from a device near the clinic.
  2. Open your Business Profile and look for any status messages.
  3. Check hours, especially around public holidays.
  4. Spot-check three rows of your consistency sheet.
  5. Read new reviews and reply where it's appropriate.

You can automate parts of this, such as a reminder, or a script that collects your listing details into the sheet. A person still reads the result and decides what to change.

Prompt you can copy

PROMPT YOU CAN COPY
You are helping me check my clinic's online listings for consistency.
My master details are:
- Business name: [exact name on signage]
- Address: [one agreed format]
- Phone: [number]
- Hours: [hours, including public holiday arrangements]
- Services: [list in the words clients use]

Below I've pasted the details as they appear on each listing.
[paste each listing's details, labelled by where it's from]

Make a table with one row per listing. Flag every field that differs
from the master details, even slightly (abbreviations, suite formats,
missing services). Don't suggest new categories or wording that I
haven't given you. Don't claim any change will improve rankings.
List the differences only, so I can decide what to fix.

You supply the details. The AI compares. You decide what changes.

What a person must still decide

  • Which version of your name and address is the official one
  • Which primary category truly describes your service
  • How you ask for reviews, and who signs off the wording
  • Whether any review can be used in advertising, after checking the Ahpra guidance
  • How to word replies to negative reviews without discussing anyone's care

Your checklist

0 OF 10 DONE

  • Choose the most specific primary category
  • Update hours, public holiday hours and services
  • Build the consistency sheet from the live listings
  • Ask every client for reviews the same way, with no incentives
  • Book the monthly ten-minute check
